COMMITTEE DESCIPTIONS: 

Annual Directory Publication Committee

The Annual Directory Publication Committee is responsible for the publication of the annual directory to be completed by approximately September 15th.

Audit Committee (Financial Review Committee)

The Financial Review Committee shall be a committee of the Chapter whose purpose it shall be to ensure that a financial review is performed on the books and financial records of the Chapter at the close of each fiscal year and communicate the results in writing to the Board of Directors.  The Committee shall be composed of at least two (2) Chapter members, each of whom shall be appointed by the President for a one (1) year term and shall meet at least once each fiscal year.  The Committee, or its designees, shall also review and report in writing to the Board of Directors on the adequacy of the Chapter’s internal controls and perform other duties as may be assigned by the Board of Directors.

Awards Committee

The Awards Committee is responsible for tracking and reporting Founders Points for individual awards.  Additionally, the Committee is responsible for collecting names of nominees from other committee chairs for the Maine Chapter of HFMA Volunteer of the Year Award.  (Nominees for the Volunteer of the Year Award will be submitted by committee chairs no later than June 30 each year.)  The Committee will review the nominees and cast a vote for the Volunteer of the Year Award winner.

Bylaws Committee

The Bylaws Committee is responsible for any needed changes to the Chapter Bylaws.  Current bylaws can be found in the Chapter Directory or on the Chapter Website www.mainehfma.org

Certification Committee

The Certification Committee is responsible for providing study materials for the certification exams and administering/proctoring exams as needed. The Committee will be responsible for organizing and conducting one coaching session annually.

Corporate Sponsorship Committee

The Corporate Sponsorship Committee consists of all officers and all members of the Board of Directors.  The committee is responsible for obtaining and maintaining Corporate Sponsorship, reviewing and updating as necessary the Corporate Sponsorship package on a yearly basis, sending out annual billings to current Corporate Sponsors, following up with Corporate Sponsors who have not paid timely, ensuring Corporate Sponsors receive benefits as promised.

Membership Committee

The Membership Committee is responsible for building and maintaining the Chapter's membership. The Committee will coordinate the membership campaign by actively retaining our existing membership, recruiting and offering promotional activities for new membership.  They will also communicate with new members and proactively encourage involvement within the chapter, emphasizing the value of participation in HFMA.

Newsletter Committee

The Newsletter Committee is responsible for producing and distributing at least four (4) newsletters per Chapter year.  One (1) newsletter per quarter is required.  Newsletter committee members will participate in eight phone meetings per year in order to produce four issues of The Beacon (one planning meeting and one finalization meeting per issue).  The committee will work as a team and each member of the committee will be responsible for the content of one subject area per issue.  Come work ‘the beat’ with us and have fun!

Nominating Committee

The Nominating Committee is responsible for nominating officer and director candidates from among qualified members of the chapter.  The Committee will track terms served by current officers and Board members and will ensure that a succession plan is in place for at least two years.  The Committee meets at least once each fiscal year.

Program Committee

Program Committee will meet at the beginning of the program year prior to June 30th to finalize and approve educational plan that was preliminarily developed at LTC. Finalization will include determining locations and topics of any programs that have not been determined as of LTC. Each of the programs will be assigned a program lead.

Program Lead is responsible for the ultimate organization of the entire program. Program lead will secure location and recruit volunteers for the program. Program lead and at least 1 of the volunteers must attend the program. Program lead may assign responsibilities to volunteers but is ultimately responsible for the following duties: securing location, setting agenda, monitoring budget, communication with program co-chairs (including the Cvent coordinator), communication with Treasurer, and volunteers for the program. Program Co-Chairs do have the authority to sign location contract.

Program Co-chairs will split responsibility for the committee. President- Elect/Program Co-Chair will be responsible for maintaining Cvent. This includes all communications with the members, setting up event web pages, registration of members, collection of registration fees, name tags, certificates and evaluations. Vice-President/Program Co-Chair will be responsible for the educational content and location of the sessions as well as supervising the program leads. Program co-chairs are further responsible for preparing and submitting the applications for the HFMA innovation funding based on the target segments identified in the HFMA strategic plan.

Social Media Committee

The Social Media Committee is responsible for the promotional activities of the Maine Chapter of HFMA. This includes submitting news updates on social media, the HMFA app, the HFMA website, and any other outlet organization requested by the Board. These news releases will cover (at a minimum) board elections and annual awards, and may also include special chapter awards and “board members on the move.”

Social Networking Committee

The Committee is also responsible for planning, organizing, carrying out and reporting social networking activities for the Maine Chapter of HFMA. The committee will be responsible for hosting at least four one hour intentional experiences that allow members to engage in conversation and networking. Networking events can be separate events or in coordination with an educational offering. The committee is responsible for coordinating social networking events with the Education Committee. In addition, the committee is responsible for preparing and submitting applications for the HFMA innovation funding based on the target segments identified in the HFMA strategic plan.

Scholarship Committee

The Scholarship Committee is responsible for promoting and the general awareness and availability of the graduate and undergraduate scholarships offered by the Maine Chapter of HFMA.  The Committee will work with local and regional organizations to promote the scholarship program, as well as increase awareness at Chapter events.  The Committee will review scholarship applications and make recommendations to the Board for final approval of annual awards.  The Scholarship Committee is also responsible for reviewing and updating the Scholarship Policy and application as necessary.  

Website Committee

The Website Committee is responsible for maintaining and updating the Chapter website.  The Committee will keep a tracking schedule that outlines each area/page of the website along with review requirements.  The Committee will maintain the LinkedIn HFMA site and will communicate with other committees in order to gather website data and other relevant current communications to be posted to the chapter website.
